01 The short version
When you book a date, we stop offering it to anyone else. That is what the 20% advance pays for. So the advance is not refundable — but in almost every case it is transferable to a new date, and if we are the ones who cancel, you get everything back.
02 If you cancel
| You cancel | Booking advance | Balance |
|---|---|---|
| More than 15 days before the event | Held as credit for 6 months, usable on any future date | Not yet due — nothing payable |
| 7 to 15 days before the event | 50% held as credit for 6 months | Not payable |
| Less than 7 days before the event | Forfeited | Not payable |
| On the event day, or after we have reached the venue | Forfeited | Travel and crew time may be charged at actuals |
Cancellations must be sent in writing on WhatsApp or by email. The date and time of that message is what counts.
03 If you postpone
Postponement is usually easier than cancellation for everyone involved.
- Tell us at least 7 days before the event and your advance moves to the new date at no extra charge, subject to that date being free.
- One free reschedule is allowed per booking. A second reschedule is treated as a fresh booking.
- If the new date is not available with us, the advance is held as credit for 6 months.
- If the new date falls in a peak period with different pricing, the difference is payable.
04 If we cancel
This is rare, and we take it seriously when it happens.
- We first attempt to arrange an equally capable replacement photographer at the same price, with your agreement.
- If no acceptable replacement can be arranged, 100% of everything you have paid is refunded, including the advance.
- Refunds in this situation are processed within 7 working days.
05 If coverage is cut short
- If we are unable to complete the agreed hours for a reason on our side, you are charged only for the hours actually covered, and any excess is refunded.
- If a technical failure affects part of the coverage despite our backup equipment, a proportionate refund is made for the affected portion.
- If the event ends early, is cut short, or coverage is stopped at your request, the full package amount remains payable — we blocked the time either way.
06 If you are unhappy with the photos
Tell us within 7 days of delivery and be specific about what is wrong. Editing issues — colour, crop, exposure, a photo you want reworked — are corrected free of charge. Photography is a creative service, so a difference in taste is not by itself grounds for a refund, but we would still rather hear about it and fix what we can than have you stay quiet.
07 Not refundable
- Printed albums and any physical product once printing has started — these are made to order.
- Delivered digital files. Once photos and raw files have been downloaded, they cannot be returned.
- Travel charges already incurred for a distant venue.
08 How refunds are processed
- Send a written request on WhatsApp or email with your event date and booking details.
- We confirm the eligible amount within 3 working days.
- Approved refunds are transferred within 7 to 10 working days by UPI or bank transfer, to the same account the payment came from.
- Bank processing time after the transfer is outside our control.
09 Events beyond anyone's control
Where a natural disaster, government restriction, civil disruption, transport shutdown or serious medical emergency makes the event impossible for either side, the booking is moved to a future date without penalty. If no future date works for you, the advance is held as credit for 12 months.
